# Clients

> The client register: the list with all its columns, how to add, edit and delete a record, the three-step form, the data checks and the error messages.

The **Clienti** (Clients) page opens from **Scartoffie ▸ Clienti** (see [Side menu](https://narciso.io/en/docs/menu-laterale/)) and has two tabs at the top, each half the width of the screen: **Anagrafica** (Register) and **Storico transazioni** (Transaction history) (see [Transaction history](https://narciso.io/en/docs/storico-transazioni/)). The active tab is the white one with the orange icon. The name of the tab also appears in the browser window title («Profili clienti & Anagrafica — Narciso» (Client profiles & Register — Narciso) or «Storico transazioni dei clienti — Narciso» (Clients' transaction history — Narciso)) and stays in the page address: when you reload, you come back to the same tab.

The **Anagrafica** is the list of the business's clients, with the toolbar and the functions described in [Data tables](https://narciso.io/en/docs/tabelle-dati/): search, sorting, columns to show or hide, export.

## The list

- Each row is a client. The column with the number on the left only shows the position in the list.
- You see the clients of the **location you are working in**. A client appears in the locations where they were registered or linked (for example because they wrote from a channel of that location); to see the others, change location from the locations map (see [Locations map and active location](https://narciso.io/en/docs/mappa-sedi/)).
- There is no maximum number of clients: the rows arrive in blocks as you scroll, and search, sorting and export work on all of them.
- If a colleague or another device creates, edits, deletes or merges a client, the list updates by itself; your selection and search stay.
- With no sorting chosen, clients run from the most recent to the oldest: a client you have just created appears at the top.

### What the search looks in

The hint in the field is «Cerca per nome, azienda…» (Search by name, company…). Narciso compares the text with the **first name, surname, email, phone for calls, WhatsApp phone, tax code and loyalty card number**. Numbers are compared exactly as written, spaces included. The Azienda column is not searched, even though the hint mentions it.

## The columns

The columns appear in this order and at first they are all visible; you can hide and move them from the Tool panel. The text in quotes is the explanation that appears when you click the **i** next to the column name.

The columns on privacy and marketing consent are not among the initial columns of the list: they are seen and changed from the client's form.

When a column cannot be sorted, it shows no arrow and clicking the header does nothing (see [Data tables](https://narciso.io/en/docs/tabelle-dati/)).

### Banned contacts

In the Telegram, Instagram and Facebook columns, next to a profile whose messages have been blocked, a small red label **Bannato** (Banned) appears. If you hold the mouse over it, you can read who banned it and when, with the note if there is one. A click on the label opens the request «Sbloccare NOME? Potrà scrivere di nuovo.» (Unblock NAME? They will be able to write again.): you write the reason for unblocking in the field «Perché lo sblocchi?» (Why are you unblocking?) and press **Sblocca** (Unblock).

### Deleting the physiognomy report

For each client, Narciso remembers whether their physiognomy report has already been generated this season, and does not generate it again at every request. A click on the label «…: presente» opens the question «Eliminare il report fisionomico?» (Delete the physiognomy report?): if you confirm with **Sì, elimina** (Yes, delete), the report of the current season is forgotten and, if the client asks for a new one, it is generated again. The photo the client sent and the messages already exchanged in the chat stay where they are. The reports of past seasons are not touched.

## Adding a client

Press **Aggiungi** (Add) (it appears only when no row is selected). A small menu opens with two entries:

The menu closes when you click outside it.

### The client form

It opens in the centre of the screen with the background darkened. The title is **Nuovo Cliente** or **Modifica Cliente** (Edit Client). At the top there are the **three steps** of the form: **Dati Personali** (Personal data), **Profilo** (Profile), **Note Salute** (Health notes). The current step is white with the number on a green background; the steps already completed are green with a tick.

You can click the steps already completed in the bar at the top to go back; the following steps are locked until you press Avanti.

> **Warning.** The form also closes with the **X** at the top right, with a click on the dark background and with the **Esc** key. In all these cases the unsaved data is lost without any warning: be careful not to click outside the window.

### Step 1 — Dati Personali

**The tax code fills in the date of birth and gender.** As soon as you type the sixteenth character, if the code is valid Narciso works out the date of birth and the gender (Uomo or Donna) from the code and sets them on the record, but only where they are missing. Date of birth and gender have no field to fill in by hand: without a valid tax code they stay empty, and Narciso does not insert fallback values.

**Tipologia.** At first the two buttons are neutral.

- **Pers. fisica** is highlighted in green and deletes any VAT number that was written.
- **P. IVA** turns the field into a box with the label «P. IVA» in which to write the number (letters in capitals, «es. 12345678901»). On the right, an **X** («Deseleziona P. IVA» (Deselect VAT no.)) cancels the choice, empties the number and brings back the two buttons.
- If the client already has a VAT number, the form opens directly in P. IVA mode. The VAT number is saved with the record.

**Checks when you press Avanti.** Each error shows a red notification at the top and colours the border of the field red.

The check treats accented letters as normal ones (è counts as E) and ignores apostrophes and spaces in the first name and surname. It is designed for the tax codes of Italian individuals.

### Step 2 — Profilo

**Photo.** JPEG, PNG, GIF, WebP, HEIC and HEIF images up to 10 MB are accepted; Narciso converts them to a lightweight format. To replace the photo, just upload another one. If you remove the photo with the X from the form of an existing record, the photo already saved is **not** deleted from the record. If the upload fails the yellow warning «Contatto salvato ma errore nel caricamento foto» (Contact saved but error uploading photo) appears: the record is saved anyway, and you reopen the edit to try again.

**Carta fedeltà.**

- **Sì**: Narciso immediately suggests a **free number** (the first free card starting from 1001, unique across the whole business). The field becomes «N°» followed by the number, which you can change by hand (letters become capitals). If the number cannot be assigned, the red notification «Non è stato possibile assegnare il numero della tessera. Riprova.» (It was not possible to assign the card number. Try again.) appears and the card stays on No: press Sì again.
- **No**: no card; the client is recorded as having no card.
- The **X** next to the number («Deseleziona carta fedeltà» (Deselect loyalty card)) removes the card.
- If the client already has a card, the form opens with the number visible.
- The same card number cannot be assigned to two clients: see the table of errors.

**Indirizzo domicilio** (for home-visit services).

- The field shows how many addresses are linked («1 indirizzo associato» (1 address linked), «N indirizzi associati» (N addresses linked)).
- When you type at least **3 letters**, after a short wait the address suggestions appear with a small pin icon. **An address is added only by choosing one of the suggestions**: an address written by hand and not chosen is not added.
- If you click in the field with fewer than 3 letters written, the list of the addresses already linked opens, each with the label **Casa 1** (Home 1), **Casa 2**…, an arrow icon («Apri su Google Maps» (Open on Google Maps), opens in a new tab) and a bin («Elimina domicilio» (Delete home address)). The list closes with Esc or by clicking outside.
- The same address cannot be added twice, and at most 10 can be linked to each client.

**Consensi trattamento dati.** The field shows «N / 3 attivi» (N / 3 active). A click opens the list with three rows, each with a box:

1. **Trattamento dati personali (GDPR)** (Personal data processing (GDPR)) — «Consenso obbligatorio per l'erogazione del servizio» (Consent required for providing the service).
2. **Marketing & Promozioni** (Marketing & Promotions) — «Comunicazioni promozionali e commerciali» (Promotional and commercial communications).
3. **Analisi AI del volto (Previsione taglio)** (AI face analysis (Haircut prediction)) — «Foto/video del volto inviati a servizi AI esterni per il consiglio taglio» (Photos/videos of the face sent to external AI services for haircut advice).

A click on a row switches the consent on or off. Next to each one there is an **i** («Consulta la Privacy Policy» (Read the Privacy Policy)) that opens the notice in a new tab. When you switch a consent on, Narciso writes the date on which it was given; when you switch it off, the date is deleted. For privacy and for face analysis the date is the proof of the moment the consent was given.

Even though the wording says «obbligatorio» (compulsory), **Narciso does not prevent you from saving a client without the privacy consent**: collecting it is up to the business. The consent to face analysis is normally given by the client themselves in the chat; from the form it can also be recorded by hand.

### Step 3 — Note Salute

Three fields, none compulsory.

**Patologie cutanee** (Skin conditions) («Cerca o inserisci una patologia (es. Acne, Dermatite, Alopecia…)» (Search or enter a condition (e.g. Acne, Dermatitis, Alopecia…)); after the first label the hint becomes «Aggiungi patologia…» (Add condition…)). A "pill" field: each condition becomes a label.

- When you type one or more letters the list **«Suggerimenti patologie (N)»** (Condition suggestions (N)) appears with at most 8 entries, chosen from a catalogue of skin conditions. The catalogue compares the text with the name of the condition, with the skin element and with the body area; the matching letters are highlighted. On the right of each entry you see the skin element (for example Pelle (Skin), Follicolo pilifero (Hair follicle)) and, if it is not «Tutti» (All), the area.
- **Arrows ↑ ↓**: move through the suggestions. **Invio** (Enter) or **Tab**: choose the highlighted entry. **Esc**: closes the list. With the mouse you highlight an entry and a click chooses it.
- You can also write a condition that is **not in** the catalogue: press **Invio** (or type a comma, a full stop or a semicolon) and it becomes a label. The characters «.», «,» and «;» act as separators and are removed from the text, so they cannot be used inside the name.
- A label is removed with the **X** («Rimuovi patologia» (Remove condition)) or by pressing **Backspace** with the field empty, which removes the last one. You cannot enter two identical labels.

**Barbiere preferito** (Preferred barber). Drop-down menu. «Automatico (in base allo storico)» (Automatic (based on history)) lets Narciso choose the team member the client has had most appointments with; if you choose a team member, that one stays the client's preferred. The menu lists the active team members.

**Allergie o Intolleranze** (Allergies or Intolerances) («es. Allergia all'ammoniaca, nickel…» (e.g. Ammonia allergy, nickel…)). Same behaviour as the pills, without a list of suggestions: you add with Invio, comma, full stop or semicolon; you remove with the **X** («Rimuovi» (Remove)) or with Backspace with the field empty.

### After saving

When you press **Salva**, the form rechecks step 1 and, if something is wrong, goes back to that step. If saving succeeds:

- the green notification **«Contatto aggiunto»** (Contact added) (new client) or **«Cliente aggiornato»** (Client updated) (edit) appears;
- the form closes and the table updates;
- if a photo was chosen and the upload fails, the yellow warning described above appears.

If saving does not succeed, a red notification with the reason appears, the form **stays open** with all the data and, if the problem concerns a field, you go back to the step that contains it with the field bordered in red.

## Editing a client

1. In the Anagrafica, click the client's row to select it (yellow background).
2. Press **Modifica** (Edit) (it appears when one row or no row is selected; with no row selected it does nothing).
3. The form opens with the client's data. Change what you need, moving with **Avanti** and **Indietro**.
4. In the last step press **Salva**.

From the form you cannot change the notes, the technical notes and the labels: that data stays as it is. The **points** cannot be changed from the form: only Narciso changes them (sales, refunds, rewards redeemed).

## Deleting one or more clients

Deletion is reserved for **Titolare and Responsabile**.

1. Select the rows to delete with a click.
2. Press **Rimuovi** (Remove) (red).
3. The browser shows a confirmation window with the text «Eliminare N elementi dalla rubrica?» (Delete N items from the address book?). With **Annulla** nothing happens.
4. With **OK** the clients are deleted one after the other and the notification «Elementi eliminati» (Items deleted) appears. The selection is cleared.

What deleting means:

- the client disappears from the list and from searches; their **tax code is deleted** from the record;
- the chats linked to them are unlinked from the record;
- the other data stays in Narciso **for 12 months**: after that the record is **anonymised** automatically. Anonymisation clears name, contacts, tax code, allergies, notes, photo and consents, deletes the conversations with their attachments and the haircut prediction analyses; the amounts and dates of the sales remain;
- there is no way in Narciso to restore a deleted client.

If an Operatore tries to delete, the red notification «Operazione riservata a Titolare o Responsabile.» (Operation reserved for Titolare or Responsabile.) appears and nothing changes. If something goes wrong during the operation, a red notification with the reason appears: the clients already deleted before the error stay deleted.

## Common problems

| Situation | What to do |

| A client you created does not show in the list | You are working in another location, or a search filter has stayed active: reopen Ricerca (Search) and press the X |
| Narciso says the phone is already registered | A record with that number already exists: search for it in the table and edit that one |
| The same person has two or more records | Select them all and press **Unisci** (see [Merging client records](https://narciso.io/en/docs/unire-clienti/)) |
