Staff

Last updated:

Translated from the Italian guide. Narciso itself is in Italian, so the names of buttons, menus and fields are shown exactly as they appear on screen, with a translation in brackets where it helps.

The Personale (Staff) page gathers everything concerning the salon's team members: their records, the work shifts and the attendance register. A team member is a person who works in the salon, with their role (Titolare (owner), Responsabile (manager) or Operatore (operator), see Roles and permissions).

How to open it#

In the side menu open the Scartoffie group and choose Personale (see Side menu). The page opens on the Anagrafica (Register) tab.

The page is open to all three roles. What you can see and save depends on the role, as explained below.

The three tabs#

At the top there are three tabs of equal width. The active one is white, with an amber-coloured icon; the others are grey.

Tab What it contains Entry
Anagrafica The table with the records of all the team members Staff records
Turni (Shifts) The grid for planning working hours Shifts
Presenze (Attendance) The time sheet with clock-in and clock-out entries Attendance

The title of the browser tab changes according to the open tab: «Organico & Schede collaboratori — Narciso» (Workforce & Team member records — Narciso), «Pianificazione turni & Orari di lavoro — Narciso» (Shift planning & Working hours — Narciso), «Registro presenze & Timbrature orarie — Narciso» (Attendance register & Hourly clock entries — Narciso).

When you change tab, the one you leave is closed: search, filters and selection are not kept.

From the appointments calendar, the box that shows a team member's availability contains a link that opens the Turni tab directly on the chosen day.

Which team members you see#

The list shows the team members assigned to the location you are working in, plus your own record. Shifts are also separate by location. To change location use the Locations map and active location.

A person is one single record for the whole salon, even if they work in several locations: to add to the current location a person already registered elsewhere, just write their tax code in the creation procedure (see Staff records).

Who can do what#

Open Anagrafica, Turni and Presenze Yes Yes Yes

Anyone who does not have permission receives a red message and the action is not carried out:

Message When it appears
«Operazione riservata a Titolare o Responsabile.» (Operation reserved for Titolare or Responsabile.) An Operatore tries to create or edit a team member
«Puoi modificare solo gli Operatori.» (You can only edit Operatori.) A Responsabile tries to edit a Titolare or another Responsabile
«Solo il Titolare può cambiare ruoli e credenziali.» (Only the Titolare can change roles and credentials.) A Responsabile tries to change the role, the nickname or the password

Access and shifts#

For Operatori, access to Narciso follows the shifts: you can only log in during a shift, with 30 minutes' notice. Whoever creates the shifts must therefore be careful when moving or deleting them while the Operatore is logged in. All the rules are in End of shift.

A new Operatore with no shifts cannot log in: after creating them, assign them at least one shift in the Shifts tab.

Confirmation with an SMS code#

A team member's phone, nickname and password are what proves who the person logging in is. For this reason, when Titolare and Responsabile change them, Narciso asks for a confirmation.

The changes that require confirmation are:

  • the change of a team member's phone number;
  • the change of the nickname or password of a login;
  • the creation of a login (nickname and password) for a new team member.

How it works:

  1. Fill in the record and press Salva (Save).
  2. Narciso sends a 6-digit code by SMS to the registered number of the person making the change (not to the team member's). The window «Conferma con il codice» (Confirm with the code) appears, with the sentence explaining the operation and the number the code was sent to, partly written with asterisks.
  3. Write the code and press Conferma (Confirm). The button stays grey until there are 6 digits. Annulla (Cancel) or the Esc key close the window without saving anything: the record stays open.

Messages in the window:

Message Meaning
«Per cambiare il numero di telefono inserisci il codice inviato per SMS al tuo numero registrato.» (To change the phone number enter the code sent by SMS to your registered number.) The phone is changing
«Per cambiare la password o il nickname di questo accesso inserisci il codice inviato per SMS al tuo numero registrato.» (To change the password or nickname of this login enter the code sent by SMS to your registered number.) The credentials are changing
«Per confermare queste modifiche all'accesso inserisci il codice inviato per SMS al tuo numero registrato.» (To confirm these changes to the login enter the code sent by SMS to your registered number.) Phone and credentials are changing together
«Codice non valido. Riprova.» (Invalid code. Try again.) The code is wrong: you can try again
«La conferma è scaduta: riprova la modifica.» (The confirmation has expired: try the change again.) / «Il codice è scaduto: riprova la modifica.» (The code has expired: try the change again.) More than 10 minutes have passed: press Salva again to receive a new code
«Troppi tentativi: riprova la modifica.» (Too many attempts: try the change again.) After 5 wrong checks the request is reset
«Attendi un minuto prima di richiedere un nuovo codice.» (Wait a minute before requesting a new code.) The code can be requested once a minute
«Troppe richieste di conferma oggi. Riprova domani.» (Too many confirmation requests today. Try again tomorrow.) At most 5 codes can be requested per day
«Non è stato possibile inviare il codice. Riprova tra poco.» (It was not possible to send the code. Try again shortly.) The SMS did not go out
«Per confermare questa modifica serve un codice sul tuo telefono, ma nel tuo profilo non c'è un numero valido. Contatta l'assistenza.» (To confirm this change a code on your phone is needed, but there is no valid number in your profile. Contact support.) The record of the person making the change has no valid phone number

After saving, the person concerned is logged out of all open sessions and must log in again. Narciso also sends a warning SMS to the person and to all active Titolari and Responsabili: for example «Narciso: la password del tuo account è stata cambiata. (Narciso: your account password has been changed. If it was not you, contact support immediately.)

The phone is compulsory on every staff record: it is needed for the login SMS code. It is not possible to save a record without a valid number.

Common problems#

A team member does not appear in the list The list shows only the team members of the active location: check the location at the top (see Locations map and active location)
