Payment schedule
Last updated:
Translated from the Italian guide. Narciso itself is in Italian, so the names of buttons, menus and fields are shown exactly as they appear on screen, with a translation in brackets where it helps.
The Scadenzario (Payment schedule) lists the things to be paid on a certain date: supplier orders not yet paid and the tax deadlines (VAT, withholdings and contributions) that the program prepares by itself. It opens with a click on the Scadenzario tab of Accounting, or from the Secretariat (Secretariat).
The list is sorted by ascending due date: at the top, the nearest deadlines or those already past. An overdue deadline has no particular colour on the row. Rows arrive in blocks as you scroll, with no limit on the total, and the list updates by itself when a colleague changes them. If it is empty no message appears: this is normal when there are no orders to pay and the tax setup has not been completed.
Contents
Where the rows come from#
| Origin | When it appears | How it behaves |
|---|---|---|
| Supplier order not yet paid | As soon as the order is recorded as to be paid, for example from the Cassa (cash desk) with «Paga» (Pay) with a deferred due date | The row follows the order and disappears from the Scadenzario as soon as the order is paid |
| Tax deadline (VAT, withholdings and contributions) | Prepared by the program, if the tax setup has been completed | It is a row on its own, with amount zero. It stays in the list even after payment |
Deadlines cannot be added by hand and cannot be deleted from this tab.
The columns#
| Column | What it shows |
|---|---|
| Data Scadenza (Due date) | The day, for example «30 Sep 2026». For an order it is the agreed payment due date or, if missing, the order date |
| Flusso (Flow) | Entrata (Income) (green) or Uscita (Outgoing) (red). Orders and tax deadlines are always «Uscita» |
| Stato (Status) | A label-button: Da Pagare (To pay) (yellow), Scaduto (Overdue) (red) or Pagato (Paid) (green, not clickable). A click on «Da Pagare» or «Scaduto» marks the deadline as paid |
| Soggetto (Subject) | The name, in bold: the supplier, or «Erario» (Tax authority) or «Erario / INPS» (Tax authority / social security) for tax deadlines |
| Categoria (Category) | «Fornitore» (Supplier) for orders; for tax deadlines «Liquidazione IVA mensile» (Monthly VAT settlement), «Liquidazione IVA trimestrale» (Quarterly VAT settlement) or «Ritenute e contributi dipendenti» (Employee withholdings and contributions) |
| Documento (Document) | «Ordine #N» (Order #N) for orders; «-» for tax ones. It is not clickable: to open the order you use the Cash book (cash book) |
| Imp. Totale (Total amt.) | The total amount of the linked document («€500.00»). For orders it is the total including VAT; for tax ones «€0.00» |
| Versato (Paid in) | The part already paid. For orders it is always «€0.00» |
| Residuo (Remaining) | Imp. Totale minus Versato, in bold |
| Netto Pagare (Net to pay) | The amount that remains to be paid, in blue. For orders it matches the total |
| Metodo (Method) | The expected payment method; for orders the one chosen in the Cassa. «-» if missing |
| Conto (Account) | The reference account; «-» if missing |
| Priorità (Priority) | Alta (High) (red), Media (Medium) (yellow) or Bassa (Low) (light blue). Orders are «Media», tax deadlines «Alta» |
| Pag. Effettivo (Actual payment) | The day the deadline was marked as paid; «-» if it is not |
| Note | For orders with deferred payment «Dilazione concordata: 30gg» (Agreed instalment: 30 days) (with the agreed days), otherwise the order's notes. For tax ones «Generata automaticamente in base al regime fiscale indicato in onboarding. Inserisci l'importo dovuto.» (Generated automatically based on the tax regime indicated in onboarding. Enter the amount due.) |
Every heading has the «i» icon with the explanation of the column. The general behaviour of the table is in Data tables.
Searching and sorting#
The search («Cerca in scadenzario...» (Search in payment schedule...)) is run by the program on the whole list, with the same rules as the Prima Nota. It searches in Soggetto, Categoria, Documento, Stato and amounts: for example «scaduto», «da pagare», «pagato», «erario». Here «Ordine 12» and «Ordine #12» both work to find an order.
You sort only by Data Scadenza and Netto Pagare. The export has the rules described in Accounting; the Residuo column comes out with its value.
Marking a deadline as paid#
Only Titolare (owner) and Responsabile (manager) can do it; an Operatore (operator) receives «Operazione riservata a Titolare o Responsabile.» (Operation reserved for Titolare or Responsabile.) and the status does not change.
- Find the row and click its Stato («Da Pagare» or «Scaduto»).
- The effect is immediate, with no request for confirmation:
- if the row is an order, the order becomes Pagato and the row disappears from the Scadenzario (it stays visible in the Prima Nota and in the Storico ordini (Order history));
- if the row is a tax deadline, the status becomes Pagato, Pag. Effettivo shows the current date and time and the row stays in the list. The amounts do not change.
- You cannot go back: the «Pagato» label is disabled.
If the operation fails, a red notification appears with the program's message, or «Errore durante l'aggiornamento della scadenza» (Error while updating the deadline), and the status does not change.
The Scaduto label appears only if the order's status is set that way: the program does not set it by itself when the date passes. The signal that a deadline has passed is the date (rows with a past date are at the top) and the task that the Segreteria shows in its list.
The automatic tax deadlines#
When the business has completed the tax configuration (see Tax configuration and VAT and the flat-rate regime in the Cassa), every night at 05:00 the program checks whether the next deadline is missing and, if so, creates it. It creates only one for each period.
| Deadline | When it is created | Date |
|---|---|---|
| Ritenute e contributi dipendenti («Erario / INPS») | Only if there is at least one active team member with a role other than Titolare | The 16th of the month: the current one if today is on or before the 16th, otherwise the next |
| Liquidazione IVA mensile («Erario») | If monthly settlement was chosen | The 16th of the month, with the same rule |
| Liquidazione IVA trimestrale («Erario») | If quarterly settlement was chosen | 16 May, 16 August, 16 November and 16 February: the first date not yet past |
| Regime forfettario (flat-rate regime) | No VAT deadline | - |
If the day falls on a Saturday, a Sunday or a public holiday when closed, the deadline is moved to the first working day after. The deadlines created have flow Uscita, status Da Pagare, priority Alta, amounts at €0.00 and the note inviting you to enter the amount due. They are deadlines of the whole business and appear in every location. If you later change regime or team members, the deadlines already created are neither modified nor deleted.
Common problems#
| Problem | What to do |
|---|---|
| I clicked «Da Pagare» by mistake | It cannot be undone from the tab. For an order the payment also appears as «Pagato» in the Prima Nota and in the Storico ordini: support is needed to restore it |
| I do not see the amount of the VAT or F24 to pay | Tax deadlines are created with amount zero: the deadline serves as a reminder of the date |
| I have an order to pay but it does not appear | Check that you are in the location where the order was recorded and that it is not already paid: in the Cassa an immediate payment creates an order that is already «Pagato», with no deadline |
| I want to add a rent or an instalment | It is not possible from this tab |
