Attendance

Last updated:

Translated from the Italian guide. Narciso itself is in Italian, so the names of buttons, menus and fields are shown exactly as they appear on screen, with a translation in brackets where it helps.

The Presenze (Attendance) tab is the salon's time sheet: a list of the team members' clock-in and clock-out entries, with the time, the length of the shift and the status. Entries are not entered by hand: they are recorded by passing a code over the reader connected to the salon (see Barcode reader).

How to open it#

In the Scartoffie group choose Personale and then the Presenze tab (see Staff). The tab is open to all three roles (Titolare (owner), Responsabile (manager), Operatore (operator)). The page title is «Cartellino Presenze» (Attendance Time Sheet) and the browser tab title is «Registro presenze & Timbrature orarie — Narciso» (Attendance register & Hourly clock entries — Narciso).

The list shows the entries of the location you are working in; to see another location, change location from the Locations map and active location.

The columns#

Column What it shows
Data (Date) The day of the entry, in the form dd/mm/yyyy
Dipendente (Employee) First name and surname, in bold
Entrata / Uscita (Clock-in / Clock-out) The times in the form «09:00 - 18:00». A missing time appears as «--:--»
Durata (Duration) The time worked in hours, minutes and seconds (for example «8h 30m 12s»). For a shift in progress the text is green, flashes slowly, updates every second and carries the wording «(in corso)» (in progress)
Stato (Status) A coloured label, see below
Note (Notes) Free text; «-» appears if there is nothing. When you hold the mouse over it you can read it in full

Each header has an «i» icon that explains the content of the column.

The statuses#

Label Colour When
In Turno (On shift) Green Clock-in is recorded, clock-out not yet
Completato (Completed) Grey Clock-in and clock-out are recorded
Ferie (Holiday) Light blue The day is marked as holiday
Malattia (Sick leave) Red The day is marked as sick leave (see below for who sees it)
Assente (Absent) Grey The day is marked as absence
Permesso (Time off) Amber The day is marked as time off

From this tab you cannot enter or change holidays, sick leave and notes: the columns show what is already recorded.

How to read the entries#

  • Entries are sorted from the most recent to the least recent.
  • They load in blocks as you scroll: there is no limit to the number of entries. While a block arrives, grey rows appear; if it does not arrive, «Non è stato possibile caricare le presenze.» (It was not possible to load the attendance entries.) appears with the Riprova (Try again) button.
  • The bar at the bottom shows Totale record: N (Total records: N), that is how many entries exist in the location (or how many match the search).
  • The page updates by itself when an entry arrives, with no need to reload it.
  • You can sort by Data, Dipendente and Entrata / Uscita, even on several columns together (up to three). Sorting applies to all the entries, not only those already loaded. Durata and Stato cannot be sorted.

The general behaviour of the table (row selection, column width, Copia (Copy) button, choice of columns with Visibilità (Visibility)) is the one described in Data tables. This tab does not have the Modifica (Edit) and Unisci (Merge) buttons.

Searching#

  1. Press Ricerca (Search): the field suggests «Cerca per dipendente...» (Search by employee...).
  2. Write part of the first name or surname (even «Mario Rossi») or a piece of the notes. Upper and lower case do not matter.
  3. The search starts as soon as you stop typing and at least 2 letters are needed; a number counts even with a single digit.

With the search active, Totale record and the export also concern only the entries found. Invio (Enter) closes the field keeping the filter; the X clears the search.

Exporting#

The Esporta (Export) button prepares the file with all the entries that match the search (not only the visible ones) or, if rows are selected, only those, with the visible columns. The formats are Excel, CSV, JSON and PDF (A4 landscape table, titled «Cartellino presenze»). The file is called presenze_AAAA-MM-GG with the chosen extension.

Exports are limited to 20 every 10 minutes. If the export fails, «Esportazione non riuscita. Riprova tra qualche istante.» (Export failed. Try again in a few moments.) appears.

Who sees sick-leave absences#

Sick leave is health data and for this reason it is protected. The Malattia status and the related notes are seen only by:

  • the Titolare;
  • the person concerned, on their own rows.

For everyone else the row appears as «Assente» and the notes are empty. The same applies to the search and to exported files.

Clocking with the reader#

What you pass over the reader#

The reader recognises only two types of code as a clock entry:

  • the app badge, a personal QR code that identifies the team member;
  • the team member's tax code, read from the barcode of the health card.

Any other code is treated as a normal stock barcode. Clock-in or clock-out is decided automatically: if the team member has no open attendance, the scan records the clock-in; if they have one, it records the clock-out. You do not need to choose anything.

The rules#

  1. Clock-in is recorded only if the team member has a shift in that location at that time, with a tolerance of 30 minutes' notice. This applies to all roles, Titolare and Responsabile included. Shifts are set in the Shifts tab.
  2. Whoever already has an open clock-in in another location (for less than 16 hours) cannot clock in here without first clocking out: a person is in only one location at a time.
  3. Clock-out does not recheck the shift: whoever finishes after the planned time can clock out anyway.
  4. Two scans close together do not open two clock-ins or close the same attendance twice.
  5. The duration is the difference between clock-out and clock-in.
  6. The time of the scan is accepted even if the reader had no connection, but it cannot be more than 5 minutes in the future or older than 48 hours: in that case the entry is not recorded.

The notifications#

Each clock entry produces a pop-up notification in real time, on whatever page of Narciso is open.

Situation Notification Type
Clock-in recorded «Timbratura ENTRATA per Nome Cognome» (Clock-in ENTRY for First name Surname) Green
Clock-out recorded «Timbratura USCITA per Nome Cognome» (Clock-out EXIT for First name Surname) Information
The code does not match any team member «Utente "CODICE" non trovato nel personale» (User "CODE" not found among the staff) Red
No shift in this location now «Nome Cognome non ha un turno in questa sede in questo orario» (First name Surname has no shift in this location at this time) Red
Already present in another location «Nome Cognome risulta già presente in "SEDE": timbra prima l'uscita» (First name Surname is already present in "LOCATION": clock out first) Red
Scan time not accepted «Timbratura non registrata: …» (Clock entry not recorded: …) with the reason (for example that the reader's time needs checking) Red

What to do if the clock entry is rejected#

Notification What to do
«non ha un turno in questa sede in questo orario» In the Shifts tab assign or correct the team member's shift; clocking is possible from 30 minutes before the start. Then repeat the scan
«Utente … non trovato nel personale» The code does not match any record: check that the tax code in Staff records is written correctly
«risulta già presente in …» The team member must clock out at the previous location
«Timbratura non registrata: … orario … nel futuro» The reader's time is not exact: it must be corrected before trying again

The Aggiungi button#

The Aggiungi (Add) button does not open any form: it shows the notification «Usa il lettore Barcode/QR per timbrare le presenze» (Use the Barcode/QR reader to clock attendance).

Common problems#

Situation What to do
The clock entry does not appear Check the notifications: usually the shift is missing in the location or there is an open clock-in in another location
An entry has vanished from the list The list shows only the active location: check the location at the top (see Locations map and active location)
A person appears as «Assente» and not «Malattia» This is intended: sick leave is seen only by the Titolare and the person concerned
The search finds nothing At least 2 letters are needed; search by first name, surname or notes
